At Kickstart AI, we accelerate AI adoption in the Netherlands by tackling urgent societal challenges. Our projects create direct impact in areas like healthcare, sustainability, and technology. As an Operations Assistant, you will play a vital role in ensuring our leadership team can focus on strategic growth while you handle the operational backbone of our organization. You will support the COO and, occasionally, the CEO by managing schedules, coordinating meetings, and maintaining an organized office environment. Your flexibility and proactive approach will make a significant difference in optimizing time and productivity in a fast-growing AI startup.

Your impact as an Operations Assistant

In this role, you will take charge of executive calendar management, scheduling meetings, and coordinating travel arrangements. You will be responsible for organizing and preparing for executive and board meetings, including agenda preparation and minute-taking. You will oversee office logistics, ensuring that supplies are stocked and administrative tasks are handled efficiently. Your role also includes managing the info and physical mailboxes by handling inquiries and invoices, attending quarterly tenant meetings, and facilitating smooth communication between the executive team and staff members. Additionally, you will assist with special projects and company events, ensuring seamless execution. Your adaptability and ability to handle multiple tasks will be crucial in keeping our operations running smoothly in a dynamic environment.

What we're looking for

We are looking for a proactive and organized individual who has:

  • At least one year of experience in an administrative, receptionist, or secretarial role.

  • Comfort in liaising with executive assistants from partner organizations.

  • Fluency in English, both written and spoken.

  • A hands-on mentality and adaptability to changing priorities.

  • Salary range of €2,500 - €3,000 gross per month (based on full-time employment).

  • Initial commitment of 24 hours per week, with potential to expand to more hours as we grow.
